How QR door check-in works at events

Scanning QR codes at the door shortens the queue and shows who is inside in real time. How to set it up, what happens if the connection drops, how duplicate entry is prevented.

What the real problem at the door is

Most of the time lost at the door comes from looking up names, not from security checks. Searching a printed list or a file on a phone takes tens of seconds per guest and a queue forms.

The second problem is visibility. While the event runs you need to know how many people are inside and how many came through each entrance, for capacity and for safety. A paper list does not give you that.

How it works

Every ticket and every guest gets a unique code. The code sits in the ticket or invitation on the guest's phone. The door staff scans it from the panel on their own phone; the system says immediately whether the code is valid, which ticket it belongs to and whether it has already been used.

The scan shows one of three results: valid, already used, or invalid. Nothing is left to the staff member's judgement.

Duplicate entry and copied codes

A QR code can be screenshotted and forwarded. What stops this is not the code itself but the fact that it works once. The first scan marks it as used; the second time the same code is scanned the system says so and the staff member resolves it on the spot.

At venues with more than one entrance this only works if the doors share the same data. Two devices keeping two separate lists means the same code passes at both.

If the connection drops

Losing connectivity at the door is a real risk and needs a plan. There are two approaches: keep scanning fully online, or hold a local copy on the device and sync when the connection returns.

A local copy keeps the queue moving but delays the detection of duplicates. Which one you choose depends on the venue: at a busy door an unbroken queue matters more, at a small reception the accuracy of the record does.

What door staff should see

Door staff do not need to see the guest's ticket price, contact details or event history. All they need is whether the code is valid and, where relevant, the seat.

Keeping the permission narrow is right for personal data and it also speeds the door up: the less there is on screen, the faster the decision.

How innclude does it

The door screen is part of the panel; no separate device or hardware is needed, staff sign in on their own phone. Codes are scanned, and lookup by ticket number or phone is also possible. Door staff see only the door screen and cannot reach sales or person data. Entries land in the panel in real time, so you can see how many people are inside while the event runs.
